Volunteer Day: Leader Info

Thank you for volunteering to lead a group Volunteer Day! The Volunteer Day Leader is responsible for ensuring a smooth, organized, and positive experience for both our volunteers and the host organization. Responsibilities include:

Before the Event:

  • Arrive 5–10 minutes prior to the start of the event to greet volunteers and organize logistics.

  • Coordinate with the host organization ahead of time to confirm estimated number of volunteers and all event details (tasks, schedule, location, special instructions)

  • Determine if this event is open to non-members, men and/or children (if so, specify age).

  • Communicate finalized event details to the SR Women for Good leadership team to ensure information is updated and distributed to members

During the Event

  • Welcome and support SR Women for Good volunteers. If possible get sign in from everyone.

  • Serve as the point of contact between SR Women for Good volunteers and the host organization.

  • Capture photos of the event, including a group photo and any candid/action shots for social media and internal documentation

  • Track volunteer participation:

    • Record the total number of volunteers (including members and any others who have joined with our group)

    • Maintain a log of hours worked by each volunteer

After the Event

  • Ensure that any clean-up is completed and materials are removed from the site.

  • Send a brief summary to the SR Women for Good leadership team including:

    • Photos from the event

    • Copies of sign in sheet

    • Total volunteer count and hours logged

    • Any noteworthy observations or feedback from volunteers or the host organization

  • Send a thank-you follow-up to the host organization.
